Booth Rental Policies

Cancellation Policy

All cancellations by exhibitors must be in writing and must be submitted to the EERC (dwalters@undeerc.org) by August 15, 2010. All cancellations received after that will be assessed a $100 fee. Exhibitors whose written cancellations are received by the EERC after August 30, 2010, will be obligated to pay the total exhibit rental fee.

Assignment of Space

Booth assignments are made on a first-come, first-served basis, taking into consideration any sponsor requests, availability of requested space, amount of space requested, special needs, and compatibility and legitimacy of exhibitors. The show organizer (the EERC), however, reserves the right in sole discretion to rearrange the floor plan and relocate an exhibit with the understanding that the exhibitor shall be notified prior to the opening of the trade show.

Reassignment of Space

Booth space not occupied by the purchasing exhibitor 2 hours before the opening of the trade show on Monday, September 13, 2010, may be reassigned by the show organizer to another exhibitor without refund, unless the show organizer is notified in advance by the exhibitor.


Important Information

Exhibit Schedule

Exhibits will be open during the opening registration, all breaks, and lunches. More information will be posted on this site as the workshop program is completed.

Setup

Setup will take place on Monday, September 13, 2010, between 7:00 and 9:00 a.m. The event begins at 1:00 p.m. that afternoon. Any boxes or crates you have shipped will be located in the exhibit area at the setup time.

Teardown

Removal will occur on Wednesday, September 15, after 12 noon. Early teardown is not permitted for any exhibitor. Your empty shipping crates will be returned to your booth in the exhibit area at the teardown time. Please make sure you bring return shipment labels; your materials will then be picked up and delivered directly to the shipping area for you.

Exhibitor Directory

An exhibitor directory will be printed and included in all attendee registration packets. The directory will include your company's name, mailing address, contact person, telephone number, e-mail, and Web site along with a brief (100 to 250-word) description of your company's service or product to be exhibited.

Shipping

Materials are shipped to and from the event by the exhibitor. Because of space constraints, booth shipments will be accepted at the EERC no earlier than Thursday, July 9, 2010. Please address your boxes to:
